A structured procurement approach ensures efficiency, cost-effectiveness, and transparency while safeguarding against misuse of resources. Clearly defined methods reduce subjective decision-making and provide guidance to staff and volunteers.

  • Small Purchases (<€500): Staff may obtain 1–3 informal quotes. Must document selection reasoning in Airtable.
  • Medium Purchases (€500–€2,000): Requires at least three offers, written recommendation submitted to the Director for approval. Board consultation recommended for purchases approaching the upper limit.
  • Large Purchases (>€2,000): Requires formal tendering or competitive bidding. Evaluation criteria must be documented. Board approval required.
  • Emergency Purchases: Only for urgent operational needs. Must be approved by Director, with full justification documented.

All methods ensure: transparency, fairness, and value for money.
