Our main software applications and tools

Iguality intentionally selects digital tools based on four criteria: GDPR compliance, data security, European data sovereignty, and environmental sustainability. Below is an overview of our core tools and the rationale for each.

  • Infomaniak KSuite is our primary office suite, covering email, document storage, and internal collaboration. Data is hosted in Switzerland, encrypted in transit and at rest, powered by renewable energy, and fully GDPR-compliant. It is our preferred environment for all internal communication and document work.
  • Airtable is used as our database and case management platform. We have signed a Data Processing Addendum (DPA) with Airtable to ensure GDPR-compliant data transfers. Access is strictly limited to authorised personnel.
  • Fillout is used for form collection and intake. It uses encrypted data transmission (HTTPS/SSL) and strict access controls. Form data is deleted every two months.
  • Jottacloud stores activity photos. It is European-based, GDPR-compliant, and runs on renewable energy.
  • Opensign handles e-signatures, providing a secure and legally valid alternative to paper-based signing processes.
  • Brevo is used for sending newsletters and external communications. It is GDPR-compliant and does not use contact data for third-party purposes.
  • Canva is used for design and visual content creation. It is used exclusively for non-sensitive, public-facing materials.
  • Make.com handles workflow automations between our tools. It is used to reduce manual work and improve operational consistency.
  • WordPress + Divi, hosted on Hostinger, powers our public website. No sensitive personal data is stored on the website server.
  • Fintable syncs our BBVA bank account with Airtable, enabling structured financial tracking. Access is limited to authorised finance contacts.
  • Google Workspace is retained only for specific automations such as sending calendar invitations. It is not used to store or process personal data beyond what is strictly required for these functions.
  • Slack is used only for limited, defined internal functions. Sensitive or personal data must not be shared via Slack.

WhatsApp may be used for limited internal operational communication, always with caution and never for transmitting sensitive beneficiary data.
