Iguality maintains detailed and accurate records of all sanctions compliance and screening activities to ensure accountability, transparency, and legal compliance. Complete documentation provides an auditable trail for internal oversight, donors, and regulators, and supports ongoing risk management.

All screening activities are recorded in Iguality’s secure system, including:

  • Sources consulted: Lists, public records, and other information used to verify individuals or entities.
  • Screening results: Outcomes of checks, including clearance, potential matches, or flagged concerns.
  • Investigation and decisions: Documentation of steps taken to assess potential matches, due diligence conducted, and final decisions regarding engagement.
  • Corrective actions and follow-up: Any measures implemented to mitigate risk or address concerns are recorded and monitored.

For annual compliance purposes, the Director and Fundraising Manager compile all records and report to the Board of Directors, who review documentation for completeness, accuracy, and adherence to the policy. Records are retained securely for a period consistent with donor requirements and legal regulations, ensuring accountability and supporting continuous improvement in sanctions compliance practices.
