Hosting the session

When hosting a sports session, there are a few practical things to keep in mind to ensure everything goes smoothly and everyone feels welcome.

What to Bring:

  • Comfortable clothing and appropriate shoes for the activity (e.g., football boots, running shoes).
  • Water, sunscreen, or a light snack, depending on the weather and the session’s duration.
  • A phone with WhatsApp access in case participants need to reach you.

Weather Policy:

  • Always keep an eye on weather forecasts, especially for outdoor activities.
  • Use common sense: avoid running or playing football in thunderstorms or extreme heat.
  • If a session needs to be cancelled due to dangerous or unpleasant weather, inform the WhatsApp group and update the event on Eventbrite or Strava, if applicable.

Other Tips for Hosting:

  • Arrive 10 minutes early to prepare and greet participants.
  • Start the session 10 minutes after the official time to allow for late arrivals.
  • Ensure your WhatsApp is available in case someone has trouble finding the location.
  • Introduce yourself to everyone, and encourage participants to introduce themselves too. This fosters a sense of community and connection.
  • Create a friendly and inclusive environment. While a little competition is fine, the focus should be on fun, inclusivity, and participation.

General Session Tips:

  • Use inclusive language and body language—smiles, greetings, and openness go a long way in making everyone feel welcome.
  • Try to learn and use people’s names—this helps build trust and connection.
  • Encourage and validate participants, especially those who seem unsure or new to the activity. Your encouragement will help them feel more comfortable and confident.
