Iguality maintains comprehensive financial records to ensure transparency, accountability, and long-term institutional memory. All financial activities are tracked and documented in detail, with clear links to categories, issuers, grants, and descriptive information.

  • Treasury: All income and expenses are linked to a category, issuer, and, where applicable, a specific grant. Each transaction includes a description, matching invoice or ticket, and proof of payment.
  • Grant Applications and Granted Funds:
    • Track all potential and submitted grants, including status and expected outcomes.
    • Confirmed grants are monitored in detail, including received funds, allocated budgets, actual expenses, justifications, and donor reporting requirements.
  • Donations: Single and recurring membership donations are tracked in Airtable and linked to Stripe, ensuring full transparency while respecting donor confidentiality under GDPR.

We store all financial records, including invoices, receipts, contracts, bank statements, payroll, and grant documentation, are retained for a minimum of five years in accordance with Spanish, Catalan, and European law.

Some notes on data retention:

  • Records may be kept longer if required by donor agreements or legal obligations.
  • Personal data is anonymized or removed as required by GDPR, while maintaining sufficient detail for audit, reporting, and internal review purposes.
